At ChallengeAdmin, we take data privacy seriously. This policy explains how data is handled within our platform. It is critical to distinguish between the Venue Owner's data (B2B) and the Player's data (B2B2C).

1. Roles (GDPR/CCPA Context)

To ensure clarity on data ownership and responsibility:

  • The Venue (You): functions as the Data Controller. You decide to record the game, collect player information, and distribute videos.
  • ChallengeAdmin (Us): functions as the Data Processor. We process, encode, and host the files on your behalf and at your direction.

2. Data We Collect

Account Data

We collect information necessary to manage your subscription and service, including the Name, Email Address, and Payment Information of the Venue Owner.

Integration Data

If you integrate with booking systems like Buzzshot or Bookeo, we import relevant booking information (such as Player Names and Emails) solely for the purpose of identifying sessions and delivering video links to the correct recipients.

Video Data

We process Audio and Visual recordings of the escape rooms captured by the cameras connected to the ChallengeCam Hub.

3. How We Use Data

We use the collected data for the following specific purposes:

  • To render branded video overlays and process game highlights.
  • To deliver the final video links to the end customer (the players).
  • To maintain and improve the performance of our customized video processing engine.

No Sale of Data: We do not sell player facial data, video content, or personal contact information to third parties.

4. Data Retention

Video files are stored for a specific retention period (typically 30-90 days) based on your active subscription plan.

  • Automatic Deletion: After the retention period expires, video files are automatically and permanently deleted from our servers.
  • Manual Deletion: Venue Owners strictly control their content and can manually delete videos at any time via the Dashboard.

5. Security

We employ industry-standard security measures to protect your data:

  • Encryption: All data is encrypted in transit using valid HTTPS/TLS certificates and encrypted at rest on our storage servers.
  • Hardware Security: The ChallengeCam Hub features Secure Boot protection to prevent unauthorized tampering with the on-site hardware.
